Changes to the Weekly NHSN COVID-19 Vaccination Data Collection Forms for Long-Term Care Facilities

Changes are underway for CDC’s Weekly NHSN COVID-19 Vaccination Modules. In anticipation of recommendations for additional COVID-19 vaccine series, new questions on COVID-19 vaccine doses will be added to the current data collection forms in August 2021. The main changes to the forms for all three facility types are listed below:

  • Added question #4 for facilities to report on the cumulative number of individuals eligible to receive an additional dose or booster of COVID-19 vaccine.
  • Added question #5 for facilities to report on the cumulative number of individuals who received an additional dose or booster of COVID-19 vaccine (by manufacturer type).

To help facilities prepare for these changes, CDC is conducting listen-only training webinars.

Payroll-Based Journal (PBJ) Submission Deadline Reminder

Nursing homes are required to electronically submit direct care staffing information to the Payroll-Based Journal (PBJ) system. Submissions must be received by the end of the 45th calendar day (11:59 PM Eastern Standard Time) after the last day in each fiscal quarter to be considered timely. PBJ data for 4/1/21 through 6/30/21 is due August 14, 2021. Please submit PBJ data as soon as possible to avoid delays. CMS recommends running staffing reports in CASPER prior to the submission deadline to ensure the accuracy and completeness of submissions. Please remember, the Final File Validation Report verifies that the submission was successful.

PLEASE NOTE: If you need assistance with the PBJ quarterly submission and the deadline falls on a weekend, you must contact the QIES/iQIES Service Center no later than the Friday before the submission deadline. The Service Center will be unable to assist on the weekend. Therefore, phone and email support will be concluded as of Friday August 13, 2021 at 8:00 p.m. (ET).

SNF Quality Reporting Program (QRP) Submission Deadline Reminder

SNFs are required to report data to meet the SNF QRP requirements. The submission deadline for the SNF QRP is approaching. MDS data for 1/1/21 through 3/31/21 must be submitted no later than 11:59 p.m. on August 16, 2021.

The Minimum Data Set (MDS) 3.0 must be transmitted to CMS through the Assessment Submission and Processing (ASAP) system to the Quality Improvement Evaluation System (QIES). No additional reporting is required.

As a reminder, it is recommended that providers run applicable CASPER reports prior to each quarterly reporting deadline, in order to ensure that all required data has been submitted.

Swingtech sends informational messages to IRFs, LTCHs, and SNFs that are not meeting APU thresholds on a quarterly basis ahead of each submission deadlines. CNA Training Update in Missouri

We have been waiting a long time and finally we see the results coming at us from our efforts to update and improve the training of Missouri CNA’s. The process has changed significantly effective August 31, 2021 “technically”. Administrators, DON’s, RN Instructors, HR Staff and CNA Training Organizations will want to understand how these changes affect them and their programs. The CNA Registry process for verification of employment in the last 24 months has also changed and will be handled through a third party site. You should already be registered as an employer and your CNA’s in the new system. This session will review all the new regulations, the new forms and the new testing/registry process through TMU Headmaster.

Staffing Series 2: Take off on the Journey to Improved Staffing

In Series 1, we explored Staffing Turnover and Retention and formulated a Roadmap to take us on a journey to improve staffing, increasing stability and quality of care, life and service for our residents. Infection Control Assessment and Response Project

Quality Reporting Program: Non-Compliance Letters for FY 2022 APU

CMS is providing notifications to facilities that were determined to be out of compliance with Quality Reporting Program (QRP) requirements for CY 2020, which will affect their FY 2022 Annual Payment Update (APU). Non-compliance notifications are being distributed by the Medicare Administrative Contractors (MACs) and were placed into SNFs’ CASPER folders in QIES on July 14, 2021. Facilities that receive a letter of non-compliance may submit a request for reconsideration to CMS via email no later than 11:59 pm, August 13, 2021.

NHSN Deadline Tracking & Troubleshooting Assistance

The Centers for Medicare & Medicaid Services (CMS) requires nursing homes to submit information each week to the National Healthcare Safety Network’s (NHSN) COVID-19 Vaccination Data Reporting Module. The deadline for reporting the previous week’s cumulative vaccination rates is every Sunday by 11:59 p.m. ET.

July 15, 2021: Giving and Receiving: Creating a Culture of Relationship with Persons Living with Dementia

Direct care workers face many challenges every day. Leaders also face many challenges if we are to be in right relationship with direct care workers. Do we understand, and are we sensitive to the needs of the direct care workforce? Do we provide education and support to help staff to be their best selves? Do care staff believe in us?

Anna and Chris will begin this webinar by discussing these and similar questions to assess where we are from an “organizational relationship” perspective post-pandemic. They will then explore the components of outstanding person-directed and relationship-based care, as well as identify what is different or added to these components for those who work with individuals living with dementia.

August 12, 2021: Innovative Intergenerational Arts Programming in Response to the Pandemic: Five Programs in Three Countries
Speakers: Elizabeth “Like” Lokon, MGS, PhD, Founder/Director of Opening Minds through Art (OMA), Scripps Gerontology Center; Cindy Paulin, Executive Director for Art for the Journey (AFJ); Amy Skeels, third-year medical student at Marian University College of Osteopathic Medicine (MUCOM); Kathryn Bender, Recreationist, Trinity Village Care Centre in Kitchener, Ontario, Canada; Chloé Bradwell, Drama Practitioner, PhD Candidate at the University of Exeter in the United Kingdom; and Meghan Young, MGS, Associate Director of Opening Minds through Art (OMA), Scripps Gerontology Center

Five organizations responded to the challenge created by the pandemic: How to maintain intergenerational connections around the arts when in-person visits are not possible? Three programs went virtual and two programs did not. All five programs are rooted in person-centered philosophy, yet distinct from one another. They address the older adults’ needs for social and creative engagement while providing students with opportunities to develop communication skills and to build relationships with older adults, with and without dementia, outside their own families.

Presenters include faculty members, a recreationist, a visual artist, and students, representing universities, a non-profit arts organization, and retirement communities in three countries, the USA, Canada, and the UK.

The goal of this workshop is to inspire attendees to think outside the box and consider limitations imposed by the pandemic as opportunities to diversify offerings. Videos, example artistic creations, research findings, and tools for replication will be shared.

COVID-19 FREE Testing

Of special note, because of the increase in cases in the Southwest region, there will be one additional testing day this week and one next week, Friday, July 2 in Joplin, and Tuesday, July 6 in Wright County– see below.

Testing remains a very important tool in fighting the COVID-19 pandemic. The Missouri Department of Health and Senior Services is now offering two options for FREE COVID-19 testing.

First, there are in-person testing events hosted around the state. Individuals are not required to pre-register or have an appointment, simply show up to one of the events below to receive the test. A government issued ID is not a requirement for this testing, but having one available onsite speeds up the registration process. Additional testing sites (with regular or one-time opportunities) may be added as indicators suggest the need for additional testing. The following events listed below are scheduled as of today. The latest information can always be found at www.health.mo.gov/communitytest.

Second, Missouri residents may order a free test to be mailed to their Missouri address. These are PCR kits that are designed for self-collection with a return FedEx shipping container. Once received back by the laboratory, the result is returned to the person tested (via email provided) within 48 hours. More information about the at home self-collection kits and a link to order are also found at www.health.mo.gov/communitytest.

Residents of Long-Term Care Facilities Are Invited to Get Creative in the 2021 Resident’s Voice Challenge

Creative writing and artistic expression are meaningful and compelling ways to highlight the importance of residents’ rights and how these rights can be carried out in all long-term care settings.

Residents of long-term care facilities are invited to get creative by participating in this year’s Resident’s Voice Challenge. The Resident’s Voice Challenge is an opportunity for long-term care consumers to respond to and reflect on this year’s Residents’ Rights Month theme – Reclaiming My Rights, My Home, My Life.

How to Participate: Artwork Contest

This year’s theme emphasizes that the long-term care facility is the residents’ home. As part of the Resident’s Voice Challenge, we will be selecting original resident artwork to be featured on door hangers. These door hangers will serve as a reminder for anyone who visits that this is a home.

  • Residents are invited to create a piece of art that reflects what home means to them or how they make their space feel like home.
  • We will select one or more pieces of resident artwork to be featured on the Consumer Voice website and on door hangers available in the Consumer Voice online store.
  • Residents will be notified if their artwork has been selected. Residents whose artwork is selected will receive complimentary door hangers.

Alternatively, residents can respond to the Resident’s Voice Challenge in writing, audio, or via video by answering one or more of the following questions:

  • What did you miss most during the pandemic? What is your life like now as a long-term care resident?
  • What are you looking forward to most in the next year (doing an activity, seeing a loved one, etc.)?
  • What does home mean to you? How do you make where you live feel like home?
  • What can your facility staff do to help make your residence a home?

Possible entries include: Video or audio recordings, poems, essays, word collages, songs, artwork or drawings, or photos. Get creative!

Each participant featured in a photo or video must fill out a release form.

Along with the new implementation of the new CNA testing process, our rules are being updated and include proposed changes to the curriculum, reciprocity for out of state CNA’s coming to work in Missouri, and the requirement for our instructors to attend a four-hour update training every five years, as well as several others.
